Structure of an Introduction Letter
- Your address and contact details (top)
- Date
- Employer's name, title and organisation address
- Formal salutation ("Dear Madam/Sir," or use a name if you have it)
- Opening paragraph — the role you are applying for and where you saw it
- Body paragraph(s) — why you are a strong fit
- Closing paragraph — thank-you and call to action
- Sign-off ("Yours faithfully") and your full name
Opening Paragraph
State clearly which role you are applying for and where you saw the advert. Example: "I am writing to apply for the Accounts Assistant position advertised on Mabumbe on 12 March 2025."
Body — Show You Are the Right Fit
In one or two short paragraphs, link your skills, education and experience to what the employer asked for in the advert. Mention 2–3 specific achievements. Keep it concrete and quantified.
Closing Paragraph
Thank the employer for considering your application and indicate your availability for interview. Example: "Thank you for considering my application. I would welcome the opportunity to discuss how I can contribute to your team and am available for interview at your convenience."
Formatting Rules
Keep the letter to one page. Use the same font as your CV. Sign at the bottom (a typed name is fine for emailed applications). Save and send as a PDF.
